Organization and Account Policy

Who owns an organization, how members and roles work, transfers, suspension and closure.

Last updated

This policy explains how organizations, accounts, members and roles work in Tryso, and what happens when an organization changes hands, is suspended or is closed. It forms part of our Terms of Service.

1. Accounts and organizations

  1. A user account belongs to one person. It must not be shared. Each person who needs access should be invited as a member.
  2. An organization is the business workspace that holds your data and subscription. One user account can create or belong to several organizations. Each organization has its own separate database.
  3. The user who creates an organization is its owner. The organization — not the individual owner — is our customer, and the owner accepts the Terms on its behalf.
  4. Organization details (legal name, country, tax registration, address) must be accurate. They appear on invoices and receipts your organization issues and on our invoices to you.

2. Members and roles

  1. Owners and administrators can invite members by email, assign roles and branches, and remove members at any time.
  2. Roles and permissions control what each member can see and do. The organization is responsible for choosing appropriate roles, reviewing them regularly and removing access for people who leave.
  3. Members' actions are recorded in the organization's activity log. Owners and administrators can see that log.
  4. An invitation is personal to the email address it was sent to and expires if it is not accepted.
  5. POS terminals and cashier PINs must be assigned to named members. Shared PINs weaken your audit trail.

3. Ownership and transfer

  1. An organization must always have at least one owner.
  2. An owner can transfer ownership to another member by asking us at [email protected] from the owner's email address. The new owner takes over the subscription and the responsibilities under the Terms.
  3. If an owner is unavailable (for example they have left the business or died) and no other owner exists, the business may ask us to reassign ownership. We will ask for reasonable proof, such as the business registration, a board or partner resolution, or a letter from an authorised signatory, and we may notify the current owner before acting.
  4. If there is a dispute about who controls an organization, we may freeze changes to ownership until it is resolved by agreement or court order. We do not decide ownership disputes.

4. Suspension

We may suspend an organization as described in the Terms of Service, including after the payment grace period in the Subscription and Billing Policy or for a violation of the Acceptable Use Policy. During suspension:

  • members can still sign in to view and export data unless suspension is for security or legal reasons;
  • storefronts may show an "unavailable" page and stop accepting orders;
  • integrations and scheduled jobs are paused.

5. Closing an organization

  1. The owner can close an organization from Organizations → Close, confirming with the organization name and their password. Closing ends any paid plan without a further charge (see the Refund and Cancellation Policy), takes the dashboard and storefront offline and pauses integrations.
  2. For 30 days after closure the owner can Reopen the organization from the same page; it comes back on the free plan. Reopen it if you need to export data. After 30 days its database, files, domains, memberships and integration credentials are permanently deleted. Encrypted backups are overwritten within a further 35 days.
  3. Organizations on legal hold or under an abuse investigation cannot be closed by the owner until the hold is lifted.
  4. Some records are retained after deletion where the law requires it: our own invoices and payment records to you, and minimal logs needed for security and fraud prevention.
  5. Organizations on the free plan that have no member sign-in for 12 consecutive months may be treated as abandoned. We will email the owner at least 30 days before closing it.

6. Deleting a user account

You can delete your user account yourself from Profile → Delete account. If you own an organization that is still open, you must first close it or ask us to transfer it to another member. Deleting a user account removes your profile and access; records you created inside an organization (such as invoices you issued) stay with that organization because they belong to it, but will no longer be linked to an active user. See the Data Deletion Instructions.

7. Data export

Owners and authorised members can export data (for example products, customers, orders, invoices and accounting reports) from the relevant screens during the subscription, and during the 30-day window after closure by reopening the organization. If you need a full export that the app does not provide, contact [email protected] within that window.

8. Contact

Account and organization questions: [email protected].
